Receptionist – Automotive

As our new receptionist, you will be the voice and face of our dealership. So we need someone with a winning attitude and a professional appearance. While we prefer someone with experience, candidates with great potential will also be considered. To be a success in this position you will need to be reliable, professional, likable and ready to make a move toward a long-term career and not just another job. Our dealership is a family, and we treat each employee as such.

Job Responsibilities

  • Perform clerical duties such as typing, proof reading, data entry, filing, photocopying, faxing and sorting mail 
  • Receive visitors and obtain name and nature of business 
  • Answer incoming calls and direct them to the appropriate departments if not available take messages and follow up the message was received.
  • Keep area clean and orderly.
  • Be professional, courteous in attitude, maintain integrity.
  • Commit to a high standard of customer satisfaction.
  • Come to work with appropriate wardrobe and grooming. (please reference employee handbook) 
  • Understand and follow receptionist processes and procedures listed in the continuity books.
  • Update continuity books with the most current information, processes, website information, and contact information
  • Update telephone directory 
  • Complete recommended product and sales training (VW certification and Ethos). This is required when applicable. 
  • Direct clients to lounge and refer clients to appropriate personal for vehicle status updates
  • Diffuse client concerns and direct them to the appropriate team member for assistance
  • Attend department meetings 
  • Prep the Deal Folders for the sales staff
  • Report sold units. new and certified pre-owned  to VW
  • When time allows assist the business office with filing.
  • Call customers when their licenses plates are ready.  Have the customer sign that they are received and contact an associate to put them on if they are present.
  • Open and close PO’s for our venders. Greet every customer prior to finishing their documentation in the finance office.
  •  Once there is a meet and great.  Thank them for buying a car and ask how they heard about us and document it.  This will assist management to redirecting our marketing money.   
  • Offer assistance to every showroom and apply the 10/20 rule

  • Commit to a high standard of customer satisfaction.

  • Complete other duties assigned within a time provided by Management

Education and/or Experience

High school diploma or GED

1 to 3 months of related experience and/or training
Candidates with an equivalent combination of education and experience will also be considered

Compensation

Compensation is based on experience and commensurate with Fortune 500 companies.
